Frequently asked questions about asset management.

What information can I record on each vehicle or machine?

In FleetMax every asset has a complete record where you centralise all the relevant information. You can record details such as:

  • Identification: segment, make, model, registration, colour, engine size and photo
  • Management and use: assigned driver, availability for booking, branch or department and monthly mileage target
  • Fuel: type, reference consumption and linked card
  • Tracking and documents: linked GPS devices and attached technical documents, such as spec sheets, manuals or certificates
What are vehicle condition check-ups?

FleetMax check-ups are quick condition checks on each vehicle, carried out from the mobile app. When recording a check-up, the driver can freely note anything worth flagging — dirt, a fresh scratch, a worn tyre or the engine warning light — which helps catch problems before they get worse.

Each check can be documented with notes and photos, and the full check-up history stays attached to the vehicle. Whenever a check reveals a fault, the manager can use that note to raise a repair request or immobilise the vehicle, making sure problems are dealt with in good time. Check-ups can be done on a regular basis, as a one-off, or at the moment the vehicle is picked up.

By default the notes are free-form but, if you prefer, the FleetMax team can build you a custom checklist covering the points your company always wants confirmed.

How does FleetMax handle off-road vehicles and replacements?

When a vehicle or machine breaks down or goes into the workshop, you can mark it as immobilised in FleetMax. This can be done manually or straight from a fault picked up in a check-up. The asset automatically becomes unavailable for booking, so employees do not count on a vehicle that is not operational.

You can also record which replacement vehicle is to be used during the immobilisation period, keeping a full history of every incident and replacement.

Can I control which vehicles each user can see?

Yes. In FleetMax you set each user's level of access to assets, choosing between three options:

  • All assets: the user can access every vehicle and machine, current and future
  • Selected assets only: the user can access only the assets assigned to them
  • Bookable assets only: the user sees only the shared vehicles they are allowed to book

That way each employee only reaches the information relevant to their role, reinforcing security, privacy and data organisation.

Can I manage machinery and equipment without number plates?

Yes. FleetMax is not limited to road vehicles with registration plates — it manages any type of asset, including machinery and equipment with no plate, such as generators, forklifts, construction machinery or agricultural equipment.

You can identify those assets however makes most sense (serial number, internal number or your own naming, for example) and manage expenses, maintenance, documents, contracts and indicators in exactly the same way.

Does FleetMax track the expiry of documents such as the MOT, insurance or driving licences?

Yes. FleetMax helps you never miss an important deadline, through reminders you can set up in two ways.

When you enter a contract (leasing, renting, maintenance, insurance and so on) or schedule a planned maintenance job, you can attach a reminder straight away, so you are notified before the contract ends or the work falls due.

For everything else, FleetMax has a dedicated Reminders area where you can create your own categories and set up alerts for any fleet obligation — the compulsory roadworthiness test, the validity of drivers' licences, or any other document or event you want to keep track of.

In every case reminders are configurable: you decide how far in advance you want to be notified, by number of days or by kilometres. That always leaves you time to act and avoids fines, immobilisations or vehicles on the road without valid paperwork.
